Getting started in Runnr.ai

This article helps you setting up your accommodation in Runnr.ai.

After finishing talks with our account team, you will receive an invitation to Runnr.ai on your email. These are the steps to take:
  1.  Login:
    1. Visit http://app.runnr.ai/accounts/login/ to access the Runnr.ai account.
    2. Log in using your credentials to reach your accommodation’s dedicated dashboard.
  2. Billing & payments:
    1. Navigate to ‘Settings’ > 'Application settings' > ‘Billing’ and enter all required billing information.
    2. Set up automated payments by choosing direct debit or credit card. 
  3. Answer library
    1. Go to 'Settings' or tap the ⚙️ icon in the left menu, then select 'Messaging' > 'Answer library.'
    2. Fill in the answer library per category. You can complete each category in 3 steps:
      1. Frequently Asked Questions:
        Choose the most relevant options for your FAQs.
      2. Button responses:
        Button responses are generated automatically from your FAQ data. To tailor them, click ‘edit’ next to each button response. You can further customize the message or add visuals. These responses also have a dedicated management page ('Settings' > 'Messaging' > 'Button Responses'). Upload images for each button—these will appear when guests select those options. For restaurant recommendations, include top picks with their URLs. For local activities, we offer a GetYourGuide integration, displaying the top three attractions nearby by default.
      3. Additional information:
        Add any details relevant to the topic under the additional information section. Keep this concise for optimal results. You can create multiple articles here to ensure content remains clear and manageable.
    3. Don’t forget to click ‘Save’ to store your updates.
  4. Messaging channels ('Settings' > 'Integrations' > 'Messaging channels'):
    1. Whatsapp:
      For the Professional Plan, your property uses the standard Runnr.ai WhatsApp account with predefined messages. Upgrade to the Plus Plan for a branded WhatsApp account and customizable initial messages. This will also allow you to add a WhatsApp button to your website.
    2. Booking.com inbox:
      To set up the Booking.com integration, activate Runnr.ai in the Booking.com marketplace. Note: Your Runnr.ai account must be activated first for this to work.
    3. Webchat:
      Enable webchat via the messaging channels page to interact with guests directly on your website. Activation of your account is required for webchat functionality.
  5. Notifications to frontdesk ('Settings' > 'Application settings' > 'Notifcations')
    1. Provide the email address that should receive guest request notifications.
    2. Enable or disable notifications for specific topics as needed—we recommend leaving all active. Each guest request is also surfaced in the unified inbox for visibility.
  6. Translations ('Settings' > 'Application settings' > 'Language')
    1. Specify any languages you prefer not to be translated into English.
    2. Select your preferred AI tone of voice.
  7. Guest journey builder ('Settings' > 'Messaging' > 'Notifcations')
    1. Activate or deactivate automatic messages sent at different guest journey stages.
    2. With a branded WhatsApp account (Plus or Enterprise package), you can:
      1. Use your own WhatsApp number
      2. Personalize initial WhatsApp messages, 
      3. Customize the action buttons sent with each message. 
  8. Estimate return on investment ('Settings' > 'Accommodation setup' > 'Return on Investment')
    1. We provide ROI projections to help you quantify the value Runnr.ai delivers.
      1. From the ‘Settings’ menu, select ‘Return on Investment.’
      2. Enter estimated values for the listed products based on booking data, accounting for whether services are per stay or on a daily basis.
  9. Connect your PMS ('Settings' > 'Integrations' > 'PMS')
    1. Runnr.ai supports integration with the widest range of Property Management Systems (PMS) in the industry, and we continually expand our list to include new partners. To connect your PMS, simply follow the instructions on this page—getting started is fast and straightforward.
    2. Once your PMS connection is established, Runnr.ai automatically retrieves guest details (such as name and phone number), stay information (including dates), and room assignments directly from your PMS.
    3. All spaces associated with your property will be visible under ‘Settings’ > ‘Accommodation setup’ > ‘Space management’. While this page is view-only, it allows you to see exactly which information the AI references for guest communications and service delivery.
  10. Add additional users ('Settings' > 'Application Settings' > 'User Management')
    1. Easily invite additional team members to your Runnr.ai account. Assign the appropriate role to each member—Administrator, User, or Conversational User—to ensure everyone has the right level of access and permissions for their responsibilities.
